Signature workflow

Signature workflow

How acceptance and signature will work once our lawyers approve the terms and a signing provider is connected. Today this page is a preview.

Draft for lawyer review. These terms have not been approved by our lawyers. Nothing on this page can be accepted or signed yet, and nothing here is a contract. Square brackets mark facts still to be completed.

Where this stands

Document
Subscriber Terms, version 0.3
State
Draft Read-only. Acceptance and signature are not open.
Signing provider
Not connected No signing service is linked yet, so nothing can be signed or executed here.
Authority matrix
Not connected Roles and authority will come from our server.
Yantra commercial records
Separate system. Nothing on this page is shared with it. A quote or an order names the company that actually sells.

The ten steps

A signature request moves through these states in order. The state is shown read-only; nobody can type one in.

  1. Draft
  2. Prepared
  3. Authority check
  4. Pending approval
  5. Ready for signature
  6. Signing in progress
  7. Signed by subscriber
  8. Countersignature pending
  9. Validation pending
  10. Executed

Other states a request can end in

  • Needs information
  • Rejected
  • Withdrawn
  • Expired
  • Cancelled
  • Signature failed
  • Validation failed
  • Superseded
  • Voided by authorised process

Who can mark a document executed

Only our server, and only after a real signing provider confirms it. No person, no administrator and no button on this site can set the executed state.

  • Our server fixes the exact document and its fingerprint before anyone signs.
  • It sends the document to the approved signing provider and checks the provider’s own confirmation.
  • It checks every required approval and every signer, in order, against the authority matrix.
  • It rejects repeated or altered confirmations, and stops safely if the provider is unavailable.
  • It keeps the signed file, the completion certificate, the provider’s reference and the audit trail under access control.
  • A typed name, a ticked box or a drawn mark is not proof of execution.

Roles

A role says what a person may do. It is not legal authority on its own; authority has to be proved.

  • Prospective or individual subscriber. Reads the terms and, once they are open, accepts for themselves.
  • Organisation requester. Starts a request for an organisation. Starting a request is not signing.
  • Organisation administrator. Routes and manages the organisation account. Not automatically a signatory.
  • Authorised organisation signatory. Signs for the organisation, only with authority proved on our server.
  • Legal and compliance reviewer. Reviews wording and compliance before signature.
  • Commercial approver. Approves commercial terms.
  • Finance approver. Approves fees, billing and tax points.
  • Technical and quality approver. Approves technical and quality conditions.
  • Board, coordination committee or shareholder approver. Approves matters reserved to them under the company rules.
  • Avyra authorised signatory. Countersigns for Avyra, within the approved authority matrix.
  • Witness. Only where a witness is required.
  • Platform administrator. Runs the platform. Cannot mark anything executed.
  • Audit and records custodian. Keeps the signed file, the certificate and the audit trail.

Preview of the signing screen

Demo only. This preview does not check who you are, does not check authority, is not a legal signature and executes nothing. What you enter stays on this page, is not saved in your browser and is not sent anywhere.
